Guide for Authors

Introduction

Authors should register on the ETJ website before they begin submitting their manuscripts. Authors must submit their manuscripts in a single Word file format, Word 2010 or later, to be used in the refereeing process. All the research articles should be submitted to the scientific evaluation procedures of publication and documentation. The journal undertakes only publishing novel articles that had not been published previously or under reviewing process in other journals or debated in conferences. The list below can be used to conduct a final check before submission.

Engineering and Technology Journal follows a double-blind peer review process. Authors must ensure that the submitted manuscript does not contain any information that could reveal their identity, including names, affiliations, acknowledgements, or self-identifying references. All author-related information must be provided only in the title page, which is submitted as a separate file.

Before you begin

  • Research ethics and consent requirements must be addressed for every new submission. See “Research Ethics, Consent, and Ethical Approval” below and the full “Research Ethics and Consents” policy on the Polices Page.
  • Declaration of competing interest should be disclosed; any personal and financial relationships with other people or organizations. Providing a signed copy of the competing interests statement (conflicts of interest) is mandatory.
  • A Funding Statement is required for every new submission, including when no funding was received. See “Funding Statement” below for the required information and examples.
  • The article should not be previously published elsewhere (except in the form of an abstract, a published lecture, or an academic thesis). This will be verified in the submission process (checklist items) and will be considered as a declaration from the author.
  • Using inclusive language is mandatory to convey respect to all people. The manuscript should be free from bias, slang, stereotypes, reference to a dominant culture, and/or cultural assumptions. Also, seeking gender neutrality through using plural nouns as default wherever possible instead of using "he, she," or "he/she".
  • Authors should ensure that the author list, order, and affiliations are correct at submission. A request to add, remove, or reorder authors before acceptance must include a written explanation and written agreement from all listed authors and any person being added or removed. Changes after acceptance will be considered only in exceptional circumstances and at the Editor-in-Chief’s discretion. Approved changes may delay publication and may require a published correction if the article has already been released.
  • The role of the funding source should be identified in the manuscript to whom provided financial support for the research.
  • All submitted manuscripts are screened using Turnitin. A similarity score of 20% or higher is used as a screening threshold and will prompt closer editorial assessment; it does not by itself establish plagiarism or require automatic rejection. The editorial team evaluates the nature, extent, source, and attribution of the overlap. A manuscript below 20% may still be investigated when inappropriate or unattributed overlap is identified. We use the Turnitin service.

Research Ethics, Consent, and Ethical Approval

As part of the journal’s updated policies and author instructions, all new submissions must include an ethics statement appropriate to the research, where applicable. Studies involving human participants, human data or images, human biological materials, animals, or potentially identifiable information must report the applicable approval, exemption, waiver, consent, and/or provenance information. Authors must follow the journal’s full Research Ethics and Consents policy on the Polices Page.
Include the applicable statement under a clearly identified “Ethical Statement” heading in the manuscript. Examples include:

  • Ethics approval—human participants: “This study was approved by [full name of committee], approval/reference number [number], on [date], and was conducted in accordance with the Declaration of Helsinki.”
  • Exemption or waiver: “The [full name of committee] determined that this study was exempt from ethics review/approved a waiver of [consent or review], reference [number], on [date], because [brief reason].”
  • Public or de-identified human data: “This study used the publicly available/de-identified dataset [name and link]. No direct identifiers were available to the authors. Under [institutional or jurisdictional rule], additional ethics approval and participant consent were not required.”
  • Consent to participate: “Written informed consent to participate was obtained from all participants [or from parents/legal guardians, where applicable].”
  • Consent for publication: “Written informed consent for open-access publication of the identifiable information/images was obtained from the participant(s) [or parent/legal guardian].”
  • Animal ethics: “The animal procedures were approved by [full name of committee], approval/license number [number], on [date], and were conducted in accordance with [applicable guideline].”

Article preparation

Documents required for submitting a manuscript

  • Main manuscript file (.doc or .docx format only). (MUST be uploaded during submission process).
  • Declaration of competing interest/conflict of interest form (Click here to download the form). (MUST be uploaded during submission process).
  • Research highlights (see an example). (MUST be uploaded during submission process).
  • Graphical abstract. (MUST be uploaded during submission process).
  • Any other supplementary files (if found).

Submission checklist

  • All figures and tables are presented in the right format with proper citations in the text that match the files provided.
  • Authors are requested to include 5 keywords (minimum), 3-5 highlights (each highlight should not exceed 120 characters including spaces), and a graphical abstract.
  • A high standard of English should be used with spell and grammar checked.
  • All references are used properly within the manuscript.
  • Ensure that permission for use of copyrighted material has been obtained.
  • The authors have reviewed the Journal policies detailed in this guide.
  • Please specify at least three Referee suggestions with their present contact details.

Article format at initial submission

  • Format your manuscript in a single column with a 1.5 line spacing.
  • Use Times New Roman for font type with a 12 points size.
  • Page setup: Top 2 cm, Bottom: 2 cm, Left 3 cm, and right 2 cm. Use 0 for the gutter and left for the gutter position.
  • Paper setup: A4 with a width of 21 cm and a height of 29.7 cm.

Title page information

  • The title should be concise and informative, with no more than 15 words.
  • Author names and affiliations should be clearly indicated to the given name(s) and family name(s) of each author and check that all names are accurately spelt. Present the authors' affiliation addresses (where the actual work was done) below the names. Indicate all affiliations with a lowercase superscript letter immediately after the author's name and in front of the appropriate address. Provide the full postal address of each affiliation, including the country name and, if available, the e-mail address of each author.
  • Clearly indicate the corresponding author who will handle correspondence at all stages of refereeing and publication, also post-publication. This responsibility includes answering any future queries related to the work.
  • Title page should be uploaded as a separate file during the submission process.

Highlights

Including highlights in the manuscript is highly encouraged as they increase the chance of article discoverability in search engines. Highlights could be presented by 3-5 bullet points capturing the novelty of methods and/or results of the work. This should be uploaded as a separate file during the submission process.

Abstract

The abstract should be cohesive and adequate implying the research question and major findings as a standalone paragraph. No references or abbreviations are required in this section. Also, the abstract section should be 200 words minimum and does not exceed 350 words.

Graphical Abstract

Enclosing a graphical abstract is highly encouraged to capture the reader’s attention to the online article. The graphical abstract represents a content summary in a pictorial form. The image should be in Tif or JPEG format with image size readable at 5x13 cm and has at least 531 × 1328 pixels (h×w) or proportionally more. This should be uploaded as a separate file during the submission process.

keywords

A maximum of 5 indicative Keywords should be stated directly below the abstract.

Article structure

  • Please, divide the article, except the abstract, into clearly defined and numbered sections. Subsections should be numbered as 1.1 (then 1.1.1, 1.1.2, ...), 1.2, etc.
  • A systematic short abstract with clear objectives is essential to enclose the major findings of the research.
  • In the introduction, the author should give a brief definition for the topic, adequate background, and state the objectives of the research. The statement and novelty of the work should be clearly stated.
  • The material and methods section should provide appropriate details in a summarized manner allowing an independent researcher to reproduce the work.
  • Results and discussion could be one section or divided into two separate sections as appropriate. This section should be clear and concise, stating the significance of the results with supporting citations.
  • A short conclusion is required that mentions the main findings and conclusions.

Abbreviation, Units, and Mathematical Equations

  • Any abbreviation should be defined at their first mention there. If not already defined within the text body, all abbreviations must be presented in a separate table located just below the conclusion section.
  • All units should be following the SI system. Please convert any other unit to its equivalent value in the SI system wherever found.
  • All mathematical equations should be presented as editable text, not as an image.

Tables and Figures

  • All tables must be as editable text and not as an image. Tables should be numbered and placed within their relevant section. The author should use a caption explaining the contents of the table. Also, ensure that the data presented in the tables did not duplicate the results described elsewhere.
  • Figures should be presented in high quality, for example, not less than 1100 dpi for line art, 600 dpi for grey-scale, and not less than 300 dpi for colors. Figures should be in one of the following formats: EPS, PS, JPEG, TIFF, or Microsoft Word files.

Acknowledgment

Acknowledgment should be provided as a separate section at the end just before the references.

Author Contribution

For research articles with several authors, a short paragraph specifying their individual contributions must be provided. The following statements should be used:

"Conceptualization, xx. and xx; data curation, X.X.; formal analysis, X.X.; investigation, X.X.; methodology, xx.; project administration, X.X, resources, X.X.; software, X.X.; supervision, X.X.; validation, X.X., Y.Y. and Z.Z.; visualization, X.X.; writing—original draft preparation, X.X.; writing—review and editing, X.X. All authors have read and agreed to the published version of the manuscript."

Please turn to the CRediT taxonomy for the term explanation (click here for more details). Authorship must be limited to those who have contributed substantially to the work reported.

Funding Statement

As part of the journal’s updated policies and author instructions, all new submissions must include a Funding Statement, even when the research received no funding. Identify each funder and grant number, where applicable, and state the funder’s role in the study design; data collection, analysis, or interpretation; preparation of the manuscript; and the decision to submit or publish. Use the statement that matches the circumstances:

  • No funding: “The authors received no financial support for the research, authorship, and/or publication of this article.”
  • Funding received; funder had no role: “This work was supported by [Funder Name, Grant Number]. The funder(s) had no role in the design of the study; collection, analysis, or interpretation of data; preparation of the manuscript; or decision to submit the article for publication.”
  • • Funding received; funder had a role: “This work was supported by [Funder Name, Grant Number]. The funder(s) contributed to [state the specific role, for example, study design and data analysis]. The authors retained responsibility for the integrity of the work and the decision to submit the article for publication.”

Data Availability Statement

As part of the journal’s updated policies and author instructions, all new submissions must include a Data Availability Statement, even when no new data were created or analyzed. The statement should identify where the data supporting the findings can be accessed and any conditions or restrictions that apply. Select and adapt the example that matches the study:

  • Repository: “The data supporting the findings of this study are available in [repository name] at [DOI or persistent link].”
  • Available on reasonable request: “The data supporting the findings of this study are available from the corresponding author upon reasonable request.”
  • Within the article or supplementary material: “All data generated or analyzed during this study are included in this published article and its supplementary material.”
  • No new data: “No new data were created or analyzed in this study.”
  • Restricted data: “The data are not publicly available due to [privacy, ethical, legal, commercial, or other reason], but may be available from the corresponding author upon reasonable request and subject to [applicable approval or data-use agreement].”
  • Public secondary dataset: “This study used the publicly available dataset [dataset name], accessible at [DOI or link].”
  • Third-party data: “The data supporting this study were obtained from [third party] under license or agreement and are not publicly available from the authors. Requests should be directed to [third party or access procedure].”
  • Authors should not use “available on reasonable request” where ethical, legal, contractual, or privacy restrictions prevent sharing. Any restriction should be described accurately.

References

The numbered style should be employed to identify the references within the manuscript. The Arabic numerals are in square brackets [ ] in the text, while the number is consecutively in the list of the references in the order of their first appearance in the references section (All references presented in the reference section must be cited in the text, and vice versa).

It is recommended to use referencing software, such as EndNote or Mendeley, to manage references in your manuscript.

Peer review

The Engineering and Technology Journal adopts an anonymous review process. Each article will pass through an initial assessment conducted by the journal editor to ensure its suitability for the journal. The Manuscript must not have a similarity index that is more than 20%. Typically, any paper deemed suitable is then passed to at least two independent reviewers for the scientific quality assessment. The final decision (acceptance or rejection) is the editor's responsibility. For more details about the reviewing process, check the journal peer-reviewing process.

It is important to note that any corrections made by the author to his/her manuscript after reviewers' recommendations must be highlighted. This helps the reviewer in tracking the corrections.

Article Processing Charges (APC)

For authors residing in Iraq, Article Processing Charges (APC) should be paid with a total amount of (110000 IQD). This amount should be paid in two payments. The first amount (22000 IQD) is paid after the first check of the article submission. The second amount (88000 IQD) is paid when the article is preliminary accepted (scientific acceptance). All payments must be paid at the Engineering and Technology Journal office.

For authors from all other countries, a waiver of 100% on Article Processing Charges (APC) is applied. Therefore, APCs are not required.
